Responsibilities:
Executive Support:
- Manage the executive's calendar, schedule meetings, and coordinate travel arrangements.
- Organize and prioritize incoming requests, emails, and phone calls; respond on behalf of the executive when necessary.
- Prepare and edit correspondence, presentations, and other documents as needed.
- Handle sensitive and confidential information with professionalism and discretion.
Project Management:
- Assist in tracking progress of key projects, deadlines, and deliverables for the executive.
- Prepare reports, summaries, and presentations for internal and external stakeholders.
- Coordinate with other departments and teams to ensure alignment on initiatives.
Communication & Liaison:
- Serve as the primary point of contact between the executive and internal/external stakeholders.
- Facilitate communication and manage relationships with clients, partners, and other important contacts.
- Coordinate logistics for board meetings, executive retreats, or other corporate events.
Administrative Support:
- Organize and maintain filing systems, both physical and electronic.
- Handle expense reports and manage budgets as assigned.
- Assist in the preparation of reports, agendas, and meeting materials for various internal and external meetings.
Operational Efficiency:
- Identify opportunities for improving processes and workflows to enhance executive efficiency.
- Ensure that all tasks are completed with a high level of attention to detail and within deadlines.
Requirements:
- Bachelor's degree or equivalent experience preferred.
- Experience in an executive support or administrative role.
- Experience supporting C-suite executives or senior leadership teams is a plus.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle multiple priorities and adjust to changing demands.
- High level of professionalism, confidentiality, and discretion.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
