Salary: $85,000–$125,000 Base + 10–15% Annual Bonus (Salary is commensurate with experience and is an estimated range provided by JPSearch.)
Responsibilities:
- Manage all aspects of B2B order processing, including order entry (manual and EDI), allocation, routing, and invoicing, using NetSuite.
- Serve as a liaison between the warehouse and internal teams to ensure seamless order processing.
- Consolidate and prepare weekly and monthly order status reports for Sales & Operations teams.
- Monitor inventory levels, identify stock shortages, and report on future fulfillment opportunities.
- Collaborate with the warehouse team for timely pick, pack, routing, and transportation of orders.
- Resolve discrepancies in order processing, pricing, and invoicing to maintain accuracy and customer satisfaction.
- Oversee invoice transmission and reconcile discrepancies in EDI transmissions, invoices, and RTVs (Return to Vendor).
- Provide supporting documentation to wholesale customers, such as bills of lading and proof of delivery.
- Alert Finance and Sales teams regarding past-due balances requiring suspension or credit line reductions.
- Review, negotiate, and manage customer chargebacks, providing documentation for disputed chargebacks.
- Process and track gratis, PR, Marketing, and Sampling requests with proper documentation and follow-up.
Requirements:
- Minimum 2–3 years of experience in EDI order processing, invoicing, and working with a 3PL/warehouse.
- Advanced experience with NetSuite is required.
- Intermediate to advanced Excel skills, including vlookups, pivot tables, and other advanced functions.
- Passion for the beauty industry; experience with Sephora is a plus.
- Strong work ethic, ability to work independently, and effective time management skills.
- Ability to thrive in a fast-paced environment and manage high-priority tasks.
