Title: Executive Assistant

Location: Manhattan, NY
Hourly Rate: $30 to $35 per hour
Contract Duration: 6+ months
Hourly rate is commensurate with experience and is an estimated range provided by JBC.

We're seeking an Executive Assistant to manage a broad spectrum of routine and complex administrative tasks in support of our client's executive leadership. This role involves coordinating day-to-day activities, including calendaring, travel arrangements, communication handling, meeting material development, office supply management, space support, and presentation/reporting support. The ideal candidate will exhibit a high level of professionalism, a positive service attitude, meticulous attention to detail, and exceptional organizational skills.

Responsibilities:

  • Coordinate appointments, meetings, and locations independently, arranging programs or events, planning office support activities, and preparing materials for meetings.
  • Manage executives’ calendars, including registration and travel coordination.
  • Organize a variety of events and meetings, including those involving multiple parties, international travel, technology, and refreshments.
  • Field, screen, redirect, and respond to inquiries, advising on office policies and procedures, and handling highly confidential matters.
  • Collect and process data associated with visa applications.
  • Maintain office equipment and inventory.
  • Coordinate program or project events, including registration, scheduling presenters, logistics, accommodation requests, and catering.
  • Provide support for programs or projects, preparing materials, managing timelines and tasks, and maintaining calendars.
  • Generate and distribute reports, proposals, presentations, or other materials accurately.
  • Create, compile, prepare, and maintain standard spreadsheets, databases, or reports based on information from various sources.

Qualifications:

  • High school diploma required; college degree preferred.
  • Minimum of 3 years of relevant Executive Assistant experience required.
  • Proficiency in Microsoft Office applications (Outlook, Word, PowerPoint, Excel).
  • Knowledge of administrative functions and processes.
  • Strong verbal and written communication skills, with the ability to communicate effectively at all levels within the organization.
  • Proven ability to handle confidential information with sound judgment and decision-making.
  • Demonstrated ability to prioritize tasks, meet deadlines, make decisions, and adapt quickly to changing circumstances.
